Role Purpose

The consultant is primarily responsible for providing consultancy and secretarial services to clients and developing those relationships.  Other responsibilities may include supporting senior consultants, managing business wide initiatives and ensuring the smooth running of the team.

The list below sets out the tasks / responsibilities involved in the Consultant role on clients.  Variations of the responsibilities may be agreed between Broadstone members on a client-by-client basis.  Certain tasks should be delegated where appropriate.

 

Key Accountabilities

Account management

  • Actively work with clients to develop strong client relationships
  • Be seen as first point of contact and deal with day to day queries:
    • From the client
    • From other Broadstone teams, including admin
    • From third parties
  • Manage workloads to ensure all work for clients is completed accurately and on time, delegating as appropriate
  • Proactively look for ways to improve the service we offer clients
  • Keep relevant Broadstone team members updated on progress of key projects / items of work
  • Maintain log of fees billed versus annual budget for client on an ongoing basis
  • Maintain log of own time billed to clients on a monthly basis
  • Maintain file notes of any material conversations / correspondence with clients (or with third parties regarding clients) and circulate to team
  • Support account manager and Scheme Actuary in account development

 

Client Meetings

  • Agree / arrange meeting dates with the client and relevant team members
  • Regularly attend and present at client meetings
  • Follow client meeting processes including:
    • Arranging the meeting
    • Preparing agenda and agenda packs
    • Ensuring packs are issued in a timely manner and available on 4myscheme
    • Taking minutes and follow up actions
  • Prepare minutes and actions list for review by other Broadstone team members before sending to client within one week of the meeting date, agreeing timescales for Broadstone actions
  • Circulate minutes and action list to relevant Broadstone team members, emphasising actions for Broadstone team members to pick up
  • Ensure meeting actions are progressed in a timely manner

 

Technical / Process

  • Attend and contribute to Broadstone Consultancy Team meetings
  • Attend and contribute to Broadstone CRM meetings
  • Oversee jobs and tasks to ensure assistant consultants adhere to procedures
  • Coach and develop assistant consultants – share experience and provide guidance and feedback
  • Assist with training for the team and the wider business
  • Draft non-actuarial/investment communications to the client or third parties (emails, member communications, letters, short reports, long reports etc.), delegating and /or seeking peer review as appropriate (i.e. in line with Broadstone’s Peer Review Policy)
  • Be available to review the work of colleagues as required
  • Liaise with office support staff to arrange for mailshots to be issued to members
  • Ensure that team-wide initiatives are progressed, maintaining client checklists as required
  • Ensure that annual Scheme report and Accounts, Scheme Returns and HMRC Event reporting are completed on time
  • Ensure that 4myscheme users, Scheme Dox, tPR exchange and client database are kept up-to-date
  • Prepare and issue monthly advisory invoices by close on the 14th of each month, seeking peer review as appropriate
  • Notify Consultancy Director and / or wider team of work carried out that might usefully be used as a precedent / template
  • Contribute to ‘special projects’ for Consultancy Team (e.g. SETs, drafting Briefing Notes) where appropriate
  • Adhere to Broadstone’s and the Consultancy’s team procedures and policies
  • Maintain and build technical pensions knowledge, keep up to date with legislative and regulatory changes through research and attending training and industry events

 

Technical Knowledge and Professional Qualifications

Key Skills

  • Highly numerate and literate
  • Ability to readily absorb technical information
  • Strong team-working and communication skills
  • Computer literacy including familiarity with Microsoft Word, Excel and PowerPoint

 

Professional Qualifications

  • Appropriate industry qualifications
  • GCSE (or equivalent) Maths and English, Grade C and above
